Evaluation and Licensing Questions
How long can I use my trial copy of a.k.a.®?
In what ways is the trial copy of a.k.a.® limited
compared to the licensed version?
The evaluation version of
a.k.a.® which is downloadable from this
website will run for 30 days and is limited to 150 terms (including
disposal classes, sources and stakeholders).
There are no other limits on the functionality of the software. All
editing, importing, exporting and reporting functionality is identical
to the licensed version.
My evaluation copy has expired and I haven't finished my
evaluation. Can I extend the trial period?
How is a.k.a.® licensed?
a.k.a.® is licensed on a per seat basis for standalone computers
or as a network licence for computers attached to a shared server. See
our pricing page for more information
about licensing modes.
Do I have to reinstall a.k.a.® when we buy a
licence?
No, the evaluation version you can download from this site contains all
of the functionality of a.k.a.®. When you license your copy, you receive
an unlock key. Once you enter that key in a.k.a.® your software is
fully functional with no limits.
Installation Questions
What are the system requirements for a.k.a.®?
a.k.a.® is PC based software compatible with Windows 98, ME, NT,
2000 and XP. The a.k.a.® program uses less than 20MB of hard disk space
including the printable PDF manual.
a.k.a.® uses the Microsoft Jet database engine which is included with
all contemporary versions of Windows.
Any Pentium-class PC will be able to run a.k.a.®. A very large
combined classification and disposal database will use a maximum of 20MB
of memory.
I don't have permission to install a.k.a.® on my
system.
If you are unable to run setup.exe to install a.k.a.® it may be
because you are unable to install new software on your workstation
without approval from your network administrator. If this is the case,
you must contact your network administrator to perform the installation
for you. They should log on to your computer as the workstation
administrator.
For network licenses the network administrator should log on as the
network administrator to set up the network license, then as the
workstation administrator to run the setup.exe on the workstation.
Functionality Questions
I would like to use
a.k.a.®, but it seems not to export to the EDRM system we are using.
How does the Retention
& Disposal module integrate with the Classification module?
Both Classification/Thesaurus and Retention & Disposal information can
be stored in the same
a.k.a.® database. There is no need to export/import or merge as the
Level 1 and 2 terms (Functions and Activities) you have entered in the
Classification module are used to develop your disposal schedule.
Classification Questions
What can I build with
the a.k.a.® Classification module?
You can use the a.k.a.® Classification module to create and maintain:
- Business Classification Scheme / Business Activity
Classification Scheme
- DIRKS Step B Function/Activity Scheme
- Functional Thesaurus
- Subject Thesaurus
- Client Name Thesaurus
- Controlled Vocabulary
- Controlled Lists of Place Names, Proper Nouns and other named
entities
- Glossary
- TRIM Classification / Record Plan
- TRIM Thesaurus
- Objective File Plan
- Hummingbird File Plan
- Infovision File Plan
- RecFind Thesaurus
I have set KWIC links,
but a Subject still shows up in too many Function/Activity combinations.
Chances are you have KWICed your Subject to Functions (or level 1 terms)
only. Starting with a.k.a.® 2.6.13, you can set KWIC links to
Function/Activity sets to properly specify the context the subject
should appear in.
Retention & Disposal Questions
I have to submit our
disposal schedule to the state/federal records authority. Can a.k.a.®
help me with this task?
Certainly. a.k.a.® was designed to support and make easier the DIRKS
process for establishing records retention & disposal rules. Out of the
box, a.k.a.® contains a Disposal Authority Submission Report you can
submit to your archives or records authority for approval.
