I have to submit our Retention schedule for approval. Can a.k.a.® help me with this task?

Certainly. a.k.a.® was designed to support and make easier the approval process for establishing records retention & disposition rules. a.k.a.® delivers a range of reports suitable for seeking approvals. Synercon have also developed customised XML reports that meet the approval requirements of Australian regulators.

How does the Taxonomy module integrate with the Disposition module?

a.k.a.® has been designed to support the development methodologies of ISO 15489. This enables the sequential development of a Business Classification Scheme and Retention Schedule that are linked together. For users wishing to link their existing retention schedule to the Taxonomy, a.k.a.® enables easy mapping of the retention classes to the taxonomy.

Can a.k.a.® maintain links between a retention schedule and legislation?

a.k.a.® maintains lists of legisaltion and regulations that govern recordkeeping requirements. Retention Classes can be linked to legislation or to specific clauses. The online retention schedule published from a.k.a.® also links retention classes to legislation (and their URL's)

What eCM systems does a.k.a.® exchange data with?

a.k.a.® can output taxonomies and retention schedules from a single source database to almost any ECM system:
  • using generic outputs in XML, CSV or TXT to deploy into eCM systems such as Documentum, FileNet, Interwoven, Open Text, and Oracle.
  • using custom built data exchange formats to deploy into eDOCS, Objective, RecFind, TRIM and Windows Explorer.
  • using a.k.a.® Integrators to deploy into SharePoint and TRIM.
  • using HTML templates to deploy into an online Taxonomy / Thesaurus or Retention Schedule.

    How is a.k.a.® licensed?

    a.k.a.® is licensed on a per seat basis for standalone computers or as a network licence for computers attached to a shared server.

    How long can I use my trial copy of a.k.a.®?

    The evaluation version of a.k.a.® which is downloadable from this website will run for 30 days.

    In what ways is the trial copy of a.k.a.® limited compared to the licensed version?

    The evaluation version of a.k.a.® which is downloadable from this website will run for 30 days and is limited to 175 items (including terms, retention classes, sources and stakeholders).

    There are no other limits on the functionality of the software. All editing, importing, exporting and reporting functionality is identical to the licensed version.

    My evaluation copy has expired and I haven't finished my evaluation. Can I extend the trial period?

    You can obtain an unlock code from Synercon which will allow you to extend the trial period.

    Does a.k.a.® provide online, context sensitive hlep?

    a.k.a.® ships with a comprehensive online help system structured to help you get started with the software. The online help is context sensitive, so whenever you see a help icon in a.k.a.® just click on it to get to the relevant section of online help.

    Accompanying the online help is a printable manual in PDF format. It is over 200 pages long and contains all of the information available in the online help.

    Installation Questions

    What are the system requirements for a.k.a.®?

    a.k.a.® is PC based software compatible with MS Windows 7, Vista, and XP.

    The a.k.a.® program uses less than 50MB of hard disk space.

    Any Pentium-class PC running MS Windows will be able to run a.k.a.®. Typically most databases use around 5-10MB for 3000 items. A very large whole-of-government database combining taxonomy and retention schedules will use around 50MB.

    The client server version will operate on MS Server 2003 and MS Server 2008.

    What database engines does a.k.a.® use?

    a.k.a.® provides users with 2 database options. Users can choose whether to use:

  • SQL Express (2000, 2005 and 2008)
  • an installed SQL database engine (2000, 2005 and 2008) or the
  • MS Jet database engine which is included with all contemporary versions of Windows.
  • An a.k.a.® SQL Administration Tool is provided as part of the standard installation.

    Do I have to reinstall a.k.a.® when we buy a licence?

    No, the evaluation version you can download from this site contains all of the functionality of a.k.a.®. When you license your copy, you receive an unlock key. Once you enter that key in a.k.a.® your software is fully functional with no limits.

    I don't have permission to install a.k.a.® on my system.

    If you are unable to run setup.exe to install a.k.a.® it may be because you are unable to install new software on your workstation without approval from your network administrator. If this is the case, you must contact your network administrator to perform the installation for you. They should log on to your computer as the workstation administrator.

    For network licenses the network administrator should log on as the network administrator to set up the network license, then as the workstation administrator to run the setup.exe on the workstation.
